Terms & Conditions
The following terms and conditions are provided so that you (the client) and I (Helen Baldwin, Blue Hippo Editorial Services) both understand what is involved in the process of our working together. If you have any questions or require clarification on any aspect of these terms and conditions, then please feel free to contact me.
Blue Hippo Editorial Services
I will provide editorial services outlined within this website as agreed by you and me.
I will provide a quote to prospective clients inquiring about my services, but the client is under no obligation to offer me work. Likewise, if work is offered to me, I am under no obligation to accept it.
Work will be carried out by me and not subcontracted out to a third party, unless with prior agreement with the client.
I will provide clear and reasoned suggestions when reviewing the client’s content and or website, but it is the client's responsibility whether these changes are accepted and implemented.
The Client and I will agree, in writing, before work begins to the terms of the project, including:
- The format in which the work will be carried out (Word, PDF, Website)
- How the material will be annotated
- The length of time required to complete the project, as advised by me
- Any specific style guidelines that need to be worked with, as advised by the client
The fee for completing the project, based on a quotation supplied by me, in writing, following my evaluation of the material supplied by the client and / or written brief, and the time-frame required to complete the project.
The date by which I will receive any and all necessary documentation required for me to start the work (If there is a delay in the client sending me the work than what is originally agreed, I will speak to the client about renegotiating the fee and/or the deadline, or decline the work and refund any fees.
The latest date by which the completed project will be returned, following my advice to the client.
If, on receipt of the project to be worked on (or at an early stage), it becomes apparent that significantly more work is required than had been anticipated in the preliminary discussion/brief or from the sample supplied, I will speak to the client about renegotiating the fee and/or the deadline, or decline to carry out the work.
If during the project the client makes significant changes to the brief and therefore project, I will speak to the client about renegotiating the fee and/or the deadline.
If after final documentation is sent to the client, the client makes further changes or additions to work through, these will be classed as out of scope and an hourly rate will be charged to amend/work through.
All content provided by the client and supplied by me will be kept confidential.
Under the terms of the Data Protection Act 1998, the client and I may keep on record such information (e.g. contact details) as is necessary. Either party may view the other's records to ensure that they are relevant, correct and up to date.
Fees and Payment
I will provide a quotation after an evaluation of the work and a discussion with the client as to what is required.
Quotations are valid for 30 days from the date provided.
I charge an hourly rate or project fee which is agreed with the client and in accordance with previously mentioned terms and conditions.
Once the fee is agreed, it is non-negotiable unless the client extends the word count of the job or requests additional services. In this case, a revised quotation and date by which the job will be completed will be negotiated.
I will supply the client with an invoice immediately upon return of the completed project and reserve the right to request a 25% deposit before starting the work.
Payment should be received within 30 days of receipt of invoice.
Payment can be received via a bank transfer (BACS), via Paypal or by cheque (only with prior agreement).
Late payments will incur interest charges in accordance with the Late Payment of Commercial Debts (Interest) Act 1998, the Late Payment of Commercial Debts Regulations 2002 and the Late Payment of Commercial Debts Regulations 2013. I reserve the right to charge a debt recovery fee of £40 as detailed under the 2002 legislation.
In the event that the client cancels the project once work has started, if the job is over halfway complete I reserve the right to invoice for 100% of the agreed fee; if the job is under halfway complete I reserve the right to invoice for 50% of the agreed fee.
In the event that the client cancels the work prior to the project starting, but after making a booking and agreeing to the terms and conditions of service herein, I reserve the right to invoice for 100% of the agreed fee if the cancellation occurs with less than one month's notice.
If the client wishes to cancel with more than one month's notice but less than two months' notice, I reserve the right to invoice for 50% of the previously agreed fee for the work.
In the event that the client wishes to cancel with more than two months' notice, no charge will apply.
Both the client and I have the right to terminate a contract for services at any time if there is a serious breach of its terms.
In the unlikely event that the client experiences an extraordinary or difficult circumstance that may require cancellation or postponement (e.g. family crisis, illness etc.), the client should contact me to discuss the options. I will do my utmost to be fair, helpful and considerate at all times.
If I experience an unexpected difficulty or extraordinary circumstance which results in a delay in starting the work or progressing, I will contact the client in the first instance to discuss an amended timeframe or offer to find an alternative supplier.
I endeavour to provide a complete and accurate service for each project; however, if within 7 days of receipt you find there are any errors or discrepancies in the punctuation, grammar or spelling, these will be rectified without any further charges being incurred. Any other changes will be classed as out of scope and charged at an hourly rate to amend.
